Achievements

Calling Campaign

Beginning on Wednesday, March 25, 2020, 279 Valencia College employees started calling nearly 38,000 students who are enrolled in face-to-face and mixed-mode courses as part of the “We’re in this Together” campaign. Callers talked about the move of our courses online, shared the resources available to help students with the transition, and attempted to calm and encourage students who felt anxiety about the move from in-person or mixed-mode to online classes.

Enterprise Application Services conceptualized, created and launched a web application to support this calling campaign in less than a week. Working with Joe Sarrubbo, dean of students, East Region and Amy Parker, assistant vice president, recruitment, enrollment and retention - this application was a successful development to help the college support Covid-19 related actions. EAS also provided support, reporting & updates to the Calling Campaign web application through out the 37 days of calling.

In support of Fall 2020 classes, the application was redeveloped to support multiple campaigns at one time. Eight separate campaigns were completed in August 2020 to support students returning back to classes in Fall 2020. With the ability to run multiple campaigns at once, the messaging could be targeted to specific students. For instance, students with a balance due were contacted before the drop for non-payment date to make sure they kept their classes. All First Time in College students were contacted to give some extra support.

Laptop Request

Laptop Request

Valencia College’s Office of Information Technology (OIT) acquired 1,000 new laptops to loan to students for the Summer 2020 Semester. This was done to support all courses moving online for the term. When the original 1,000 laptops were requested, an additional 500 laptops were added & quickly requested by students.

Enterprise Application Services built the web application that allowed students to submit these laptop requests. The web application was designed to validate student's enrollment, check on student mailing addresses, manage the number of laptops left to request, and submit the requests to the OIT Help Desk ticketing system, TeamDynamix for distribution. The web application is currently being redesigned to be an ongoing process, to allow students to check out laptops during semesters they are registered for classes. This will allow the loan & return of laptops to continue.

CARES Act

Valencia college recieved funding from the Coronavirus Aid, Relief and Economic Security (CARES) Act for emergency relief to students. As of Wednesday, June 17, 2020, more than 17,000 students certifying adverse impact from the pandemic had received $12.8 million ($750 each).

Enterprise Application Services, in conjunction with Financial Aid, Student Affairs & the Grants office, developed an online application that would allow students to securely request funds. New functions were developed to allow quick disbursement of the funds to our students in need. A final round of fund disbursement provided by the Valencia Foundation is being developed to launch in October 2020.
