Paychecks

Valencia College pays employees biweekly on Fridays. All employees are paid through direct deposit, with the exception of the first paycheck for new hires or during the test payroll when direct deposit account information is updated, and the existing account has been closed. You can access your pay stubs, earnings and deductions history and other payroll related forms in Atlas under the Employees tab.

Timesheet Entry

All employees that complete a timesheet must do so in the Web Time Entry system in Atlas. Actual hours worked should be recorded on a daily basis. Employees and supervisors are responsible for submitting and approving web timesheets by the dates outlined in the appropriate timesheet schedule. Failure to do so may result in a delay in pay.

Important note: full time employees have a different web timesheet entry schedule than part-time and work study students.

Web Time Entry Resources

There are several types of leave at Valencia College. Eligible employees can request leave by completing a Certificate of Absence in the Request and Manage my Leave System in Atlas. The leave request must match the timesheet, if applicable.

There are also Request and Manage my Leave system training videos available in The Edge. Simply type “Leave” into the search engine and your available options will be listed.

Full-time Employee Resources

Full-time, non-exempt employees are responsible for recording at least  40.0 hours each week in web-time entry. This includes time that you worked and any time off. Leave requests must match web timesheets exactly for leave type, day(s) taken, and hours used.  Leave without Pay is never used unless an employee has been suspended without pay or has taken an unauthorized absence.

Part-time and Work-Study Employee Resources

Part-time employees are responsible for recording their hours worked each week. Employees in this category should not exceed a total of 25 hours per week without the prior approval from the division’s Vice President or Campus President.

Work-study employees include students working in the Institutional Work-Study and Federal Work-Study programs. Employees in this category should not exceed a total of 20 hours per week.

NOTE: AN EMPLOYEE WHO WORKS PART-TIME AND WORK-STUDY SHOULD NOT EXCEED 20 HOURS PER WEEK BETWEEN BOTH JOB ASSIGNMENTS.

Your taxes are important. Let us guide you to the right resources.

If you need help completing your W-4, please go to the IRS website at IRS.gov and type “Tax Withholding Estimator” into their search engine or consult with your tax expert.  

If you need to submit documents such a direct deposit form, W-4, or a copy of your social security card, please send them in a sealed envelope via interoffice mail to Payroll at mail code DO-21.

  • Payroll will never reach out to you via email with tax or direct deposit information. If you receive a suspicious email, please forward it to the OIT Service Desk oitservicedesk@valenciacollege.edu and then delete the original email. Please do not click on any suspicious links.
  • Please do not email us with any of your personal identifiable information including banking information or social security number.
  • If you need to submit documents such as direct deposit form, W-4, or a copy of your social security card, please send them in a sealed envelope via interoffice mail at mail code DO-21, upload it through our our secure software (we’ll send a link when requested), or mail it via US mail:
