This list of frequently asked questions is a collection of inquiries expressed by parents and students throughout the years. In a collaborative effort of staff, administrators, and faculty, they were designed for the student to learn more about the processes in the Business Office. What is the 1098-T Tuition Payment Statement?

Eligible educational institutions, such as Valencia College, are required to file with the Internal Revenue Service (IRS) and furnish a Form 1098-T to students to assist them in determining eligibility for the American Opportunity Credit or Lifetime Learning Credit. Valencia College does not provide tax advice. Please consult a tax adviser for assistance.

When and where will the Form 1098- be provided? Can I “GO GREEN!” and consent to access my Form 1098-T online?

As part of the Enrollment Agreement, students at Valencia College consent to having their 1098-T delivered electronically. Students can receive their 1098-T tuition statement form electronically by logging into your ATLAS account, and clicking on Students Tab. Under Business Office click on IRS Form 1098-T (Electronic Delivery). 1098-T Tuition Statement form will be available by end of January of each year.

I took classes, why didn’t I receive a 1098-T tax form?

Special Exceptions: I am an international student and did not receive Form 1098-T

If you are a non-resident alien student and do not have U.S. source income (U.S. scholarships, awards, waivers etc.) that is subject to tax, Valencia College is exempt from issuing a Form 1098-T to you, unless requested. Requests can be made by sending an email to BusinessOffice@Valenciacollege.edu.

Special Exceptions: I updated my address, SSN or ITIN after January 29, how do I get my 1098-T?

If you are eligible for a form 1098-T, after updating your address email BusinessOffice@Valenciacollege.edu and request to update your electronic delivery of your 1098-T. You must update your information by the end of February.

What amount is in each box?

Please review the Form 1098-T and Instructions for Form 1098-T on the IRS website.

How do I get a 1098-T from prior years?

Electronic delivery of your 1098-T has been available since 2012.If you need a 1098-T for tax year prior to year 2012, please send an e-mail to BusinessOffice@Valenciacollege.edu to request a copy.

Forms for tax year 2017 and older will be created based on the old reporting method (amounts billed for qualified tuition and related expenses). Forms for tax year 2018 onward will be created based on the new reporting method (payments received for qualified tuition and related expenses).

I have an Alternate Social Security number, how do I get a 1098-T?

Due to IRS regulations, you must furnish the school a Tax Identification Number (TIN) for 1098-T purposes. The most common Tax Identification Number is the social security number or the individual tax identification number (ITIN). See “How do I update my address or taxpayer identification number section” for more information.

After updating your TIN, please send an e-mail to BusinessOffice@Valenciacollege.edu and request to update your electronic delivery of your 1098-T.

Where do I find electronic copies of my 1098-T forms?

Go to Atlas 'Students' tab under 'Student Resources' expand the Business Office link and click on IRS Form 1098-T (Electronic Delivery).

In order to receive Form 1098-T in an electronic format, recipient must have access to the internet and have a current/active ATLAS account. To print the statement, recipient must have access to a printer. If you don't have access to a printer, you can visit the Atlas Lab at any campus to log in to the ATLAS and print your statement.

How do I update my address or taxpayer identification number (such as SSN or ITIN)?

It is imperative that you provide this information as soon as possible to avoid IRS penalties when filing late or for providing an incorrect social security number information (Section 6109 of the Internal Revenue Code).

In order to have your record updated, please provide a copy of your social security card or an application for a replacement card and the Request for Student's Taxpayer Identification Number form. You can either bring the documents in person to an Answer Center or you can mail them to the address shown below. DO NOT email the form as it is not a secure way to transmit personal information. How do I see what I was charged and how much I paid?

All activities such as Detail of Payments Received, Detail of Amount Billed, Detail of Scholarships or Grants are listed under the electronic Tax Notification page.

How can I get more information about the 1098-T?

Change of Reporting Method for Tax Year 2018 onward - Box 1 Reporting Required for Tax Year

In previous years, your 1098-T included a figure in Box 2 that represented the qualified tuition and related expenses (QTRE) we billed to your student account for the calendar (tax) year. Due to a change to institutional reporting requirements under federal law, beginning with tax year 2018, we will report in Box 1 the amount of QTRE you paid during the year.

Depending on your income (or your family's income, if you are a dependent), whether you were considered full or half-time enrolled, and the amount of your qualified educational expenses for the year, you may be eligible for a federal education tax credit. (You can find detailed information about claiming education tax credits in  IRS Publication 970, page 9.)

The dollar amounts reported on your Form 1098-T may assist you in completing IRS Form 8863 -- the form used for calculating the education tax credits that a taxpayer may claim as part of your tax return.

Valencia College is unable to provide you with individual tax advice, but should you have questions, you should seek the counsel of an informed tax preparer or adviser.

Claiming Education Credits on Your Individual Tax Return

You should use the information on the Form 1098-T in conjunction with your own payment records to complete your individual tax return. If you have questions about how to compute an education tax credit, consult your tax professional or refer to  IRS Publication 970.

My records have a hold that prevents me from registering. I want to go back to school and register. What do I need to do?

On your Atlas account, you can view the description of any holds that you may have. Contact the originating office that placed the hold and speak with them directly. However, you must settle any financial obligations before you will be allowed to register. You can pay online via your Atlas account if your account has not be submitted to a collection agency. If your account has been submitted, you would need to pay the collection agency directly.

Will my hold be removed if I pay my debt through Atlas?

Financial related holds are removed from your account over night by paying online through your Atlas account. However, you may also email the Business Office at businessoffice@valenciacollege.edu (Please be sure to include your student identification number in your e-mail) or visit your campus Business Office to have the hold removed from your account.

How can I check my account balance and pay for classes?

Please Note: If there is any balance remaining on your account, after the last day to pay, and arrangements have not been made to defer your fees, you are in jeopardy of being deleted from ALL registered course work.

    Click on Submit your Credit Card Payment Online or Sign up for a TIP Payment Plan.

    Post Office Box 4913, Orlando, Florida 32802. Please allow extra time to insure payment will be received (not postmarked) prior to the last day to pay.

    Go to any of the Business Office locations. (Once campuses reopen)

    Go to Valencia ePayment login with your user name and password.
I know my tuition check has been returned, and I want to pay my tuition now, so I will not lose my classes (Valencia College shows no record of this check being returned).

Wait for notification from Valencia before you proceed to pay for your classes. Checks are automatically redeposited by our bank. If the check is returned to us, we will void the initial payment and send you notification that the account must be settled. There will be an additional charge for the returned check added to your account, and you must pay either by credit card or cash. No personal checks will be accepted for payment of this debt.

What is the last day for me to drop classes and get a 100% refund?

I registered for classes on the Internet and the charges are too high. Why?

In-state fees are $103.06 per credit hour and the out of state fees are $390.96 per credit hour. Any special fees associated with a class are designated by the department and the amount is listed in the college catalog by the course description. You can learn more about the fee schedule by visit our Important Dates page. If you are attempting a class for the third time, you may be charged the full cost of instruction. If your residency needs to be addressed, you must visit the Answer Center for clarification.

Why do I have to pay a Financial Aid fee if I don't get Financial Aid?

All students pay these fees. They are mandated by the State of Florida legislature. Go to http://www.leg.state.fl.us/statutes. Title XLVIII Chapter 1009-23. See #8A (Financial Aid).

Why do I have to pay Student Activities fees? I don't participate in any clubs.

What forms of payment are acceptable for payment of classes?

Valencia College accepts cash, American Express, Discover, MasterCard, Visa, Flywire, money orders and personal checks. Checks must be made payable to Valencia College.

I'm a parent and I want to pay for my child's classes before he/she loses them. How can I pay?

To create access for any person a student wishes to pay on his/her behalf, refer to the “Payers Account” instructions under the website Business Office Payments.

My employer wants to pay for my classes. What do I need to do?

If all or part of your tuition is being paid by an approved external agency (ex. Vocational Rehabilitation or Workforce of Central Florida), you must present your current term form of authorization (letter, voucher, etc) within the payment timeframe (see Payments and Refund Dates). If your employer is not an approved agency, they will need to contact Valencia's accounts receivable department to set up an agreement.

My employer needs a detailed receipt of classes paid. Where can I get one?

It can be requested through any campus Business Office.

If I register late, what is the charge?

Students who register for the first time after payment deadline or dropped for all classes for non-payment will be assessed a $50.00 Late Registration Fee. Important Dates & Deadlines

Where do I get a VA deferment?

Visit the Financial Aid Services Office at any campus.

When can I expect a refund if I dropped my course(s) before the deadline?

Valencia releases funds approximately fifteen (15) working days after the last day of the Drop/Add period. If a debt is owed to the college, any refund will be applied to that debt, and any remaining refund due will be payable to the student.

Do I receive a refund when I withdraw from a course?

No, to receive a refund you must drop your course(s) on or before the advertised add/drop deadline. If you withdraw from a class you are still responsible for the tuition and fees, and the charges will be reflected on your student account.

Why did I get an email informing me of the refund choice available at Valencia College?

In order to be able to offer students a way to conveniently receive refunds electronically, Valencia College utilizes BankMobile Disbursements, a technology solution, powered by BMTX, Inc. to manage refund disbursements. This contract may be found by clicking here.

What are Third Party Contracts?

Third party contracts are an unconditional written guarantee to Valencia College for payment of tuition and fees, and in some instances educational materials and supplies, from an organization (“Third Party Sponsor”) on behalf of a student.

Depending on terms of the contract, some tuition or certain fees may not be covered, so it is important to understand what will be paid under the terms of the third-party contract.  Any difference between the charges assessed and amount covered under the contract must be paid from another source to satisfy the balance due.

I am a current sponsor for students at Valencia College.  What is the best way to submit the written guarantee to ensure student is on contract?

Email accountsreceivable@valenciacollege.edu the written guarantee to pay, typically in the form of a voucher for processing.  Please allow at least five (5) business days to process the voucher.   Refer to the Important Dates and Deadline Calendar for applicable term to ensure that voucher is received at least five days before the payment deadline.

In general, the voucher is an unconditional guarantee promise to pay and should not include eligibility restrictions such as but not limited to course completion, grades, course compliance to declared program major.  If organization requires Valencia to monitor program eligibility, the College reserves the right to not accept company as a third party sponsor, even if your organization was a previous sponsor. Please reach out to accountsreceivable@valenciacollege.edu if you need to discuss the terms of your.

Why is my tax-exempt organization being charged sales tax for educational books and/or materials?

It is most likely that Valencia does not have your current Florida Consumer’s Certificate of Exemption (Form DR-14) on file.  Please send your current tax-exempt certificate to the Accounts Receivable department at accountsreceivable@valenciacollege.edu

When will my organization receive the invoice for payment?

An invoice will be electronically delivered to the designated email address approximately two months after the beginning of the term. Payment is due upon receipt.  The preferred method of payment is ACH, but checks are also accepted.

I have a third-party sponsorship to pay my tuition, but I do not see the contract payment on my account. What should I do?
  • If you are being sponsored by Vocational Rehabilitation, contact your counselor to verify that the authorization form has been submitted to the accounts receivable department at AccountsReceivable@valenciacollege.edu. If the counselor has indicated that the form has been submitted, check the accounts balance page of your Atlas account to check that contract payment has been processed. If you still do not see the credit for vocational rehabilitation that you expect, visit the Business Office or call 407-582-1365.
  • If you have a Florida Prepaid College plan, please refer to the Florida Prepaid page for additional information.
  • If your sponsoring organization has not established a relationship with the college, a representative will need to submit a  Third Party Contract Letter of Intent as described in the Third Party Sponsor section. Please note that the submission of the Third Party Contract Letter of Intent does not guarantee that organization will become an approved sponsor.
Vocational Rehabilitation is paying for my classes. What do I need to do?

Your counselor should submit your authorization form to Valencia's accounts receivable department to credit your account. Check the account balance page of your Atlas account to ensure proper credit has been given. You may also visit the Business Office at any campus.
